Are voice processing systems easy to use?

Unfortunately, not all of them are. Find the one that
is easy to use and best suits the needs of your business.

You will find some features make systems more user-friendly:
- One digit commands - Simple commands
are easier to remember and are less formidable to
first time callers.
- Consistency - The same commands should
remain the same throughout the system.
- Short menu trees - An outside caller
should reach his or her final destination within
tree menus. Avoid yes/no commands since they tend
to develop very long and cumbersome menu trees.
- Personalized greetings - A voice processing
system should reflect the personality of the company
and personnel using the system.
- Dial over prompts/press a command any time
- This gives the users the ability to move quickly
through the system.
- "0" for an operator - This option for
immediate connection to an operator puts callers
at ease knowing they always have an "out".
- Documentation - Installation procedures,
reference manuals, and user guides should be appealing,
well organized, and easy to read.
- Access to multiple applications - Systems
are easier to use if they give the user the ability
to access other applications or mailboxes after
completion of a task.
