 Q: Are voice processing systems easy to use?
 A: Unfortunately, not all of them are. Find the one that is easy to use and best suits the needs of your business.
You will find some features make systems more user-friendly:
  • One digit commands - Simple commands are easier to remember and are less formidable to first time callers.
  • Consistency - The same commands should remain the same throughout the system.
  • Short menu trees - An outside caller should reach his or her final destination within tree menus. Avoid yes/no commands since they tend to develop very long and cumbersome menu trees.
  • Personalized greetings - A voice processing system should reflect the personality of the company and personnel using the system.
  • Dial over prompts/press a command any time - This gives the users the ability to move quickly through the system.
  • "0" for an operator - This option for immediate connection to an operator puts callers at ease knowing they always have an "out".
  • Documentation - Installation procedures, reference manuals, and user guides should be appealing, well organized, and easy to read.
  • Access to multiple applications - Systems are easier to use if they give the user the ability to access other applications or mailboxes after completion of a task.
